Here's exactly what happens from the moment a client books to the moment they arrive.

1. Client visits your booking link

The first thing they see is an email field. MassageHub uses this to recognise returning clients and send them a sign-in link so their details are pre-filled automatically.

  • Known email — a sign-in link is emailed to them. They click it, return to your booking page, and their name, phone, and address are already filled in.
  • Unknown email — they're asked for their mobile number. If a record exists for that number, we show the masked email on file and ask if it's theirs (sends a sign-in link to the email we have). If nothing matches, they continue as a new client — an account is created automatically once they complete their first booking.

If you have multiple locations, they'll then choose between clinic and mobile. For mobile bookings, they're asked for their address straight away and must confirm parking is available — MassageHub then checks the address is within your travel area before they go any further.

2. Client picks a service

They see your services and pick one. If you offer the same treatment in different durations, they'll see chips to pick from (e.g. 60 min · £60, 90 min · £85).

3. Client picks a date and time

The date picker shows your available days. On mobile it defaults to a compact weekly chip view — each day shows the price and highlights any green booking discount. On desktop it shows a full monthly grid. You can change this default in Settings → Profile → Booking calendar.

Once they tap a day, the available start times for that day appear below.

4. Client fills in their details

Name, email, and phone number. If you have a cancellation policy, they'll be asked to confirm they've read it.

5. Booking confirmed

The client receives an SMS and email confirmation with the appointment details. If you have an intake form, the email includes a link to complete it.

You'll receive an email alert with the new booking details. If the client provided a phone number, it appears as a tap-to-call and WhatsApp link so you can contact them directly from the email on your phone.

6. 24-hour reminder

The day before the appointment, the client automatically receives an SMS and email reminder. The reminder email includes your phone number as a tap-to-call and WhatsApp link (if you have a notification or contact phone set in Settings) so clients can reach you directly in one tap.

7. After the session

Go to Appointments and mark the appointment as completed (or no-show if they didn't attend). You can write SOAP notes directly from the appointment record.
